Truck Settlements
A settlement engine that runs a period per truck, prints line-item statements, posts balanced entries on approval and never hides negative pay.
Percent of revenue with or without fuel surcharge, per mile or flat per load. Truck agreements say who is paid and who bears fuel, tolls and receivable losses.
Turn on scheduled drafts and statements are prepared in the carrier's local time after each period closes. People still approve and record payments.
Printable statements show every load, accessorial, deduction, advance and recovery. Drivers read their own statements in the driver app.
Approval writes balanced accrual postings and payment clears payable to cash. The week exports as one QuickBooks-ready journal entry plus CSV.
Settle every truck on schedule
The settlement engine is on from the day a carrier is created, in the carrier’s own time zone. Each truck’s period collects its loads, pay, charges and credits, and the period board shows what is ready, what is waiting and why.
What goes into a statement
- Pay from the truck’s pay plan: percent (with or without fuel surcharge), per mile, or flat per load, plus accessorials.
- Fuel and toll charges imported from card and transponder files and matched to the unit automatically; unmatched rows wait for review.
- Recurring deductions such as insurance or trailer rent, which keep producing occurrences until the rule is ended.
- Advances and recoveries, including a recovery plan when a balance goes negative.
- Escrow (optional): holds and returns under the truck agreement’s terms, with interest evidence kept per account.
Approvals and corrections
Approving a statement posts balanced entries. Recording a payment clears it. Mistakes are corrected with a linked reversal and a reason, never by editing what was already posted, and each record keeps its history.
Negative net pay is surfaced for review and carried as a balance. It is never quietly set to zero.
Accounting handoff
GlowTMS is an operational subledger, not your general ledger. It hands your accountant a balanced, carrier-identified journal in QuickBooks language plus CSV exports, and it closes its own fiscal year with a single opening entry.
Get your carrier off the spreadsheet
Import the sheet you already run on, then let GlowTMS carry loads through invoicing, factoring and truck settlements. Every step that moves money waits for a person to approve it.
